Dear Sponsors, Supporters, and Friends of the Finnish Charity School Project,

This is a short message to inform you that the opening ceremonies of our school in GuiYuan village have been postponed to Tuesday, September 29th.

Previously I have communicated a date in early September for opening of the school. However, due to the heavy rains in Sichuan during this past summer the work on waterproofing the ceiling has been constantly delayed. Also, paintwork and yard work have been slowed down due to the wet conditions. Fortunately the rains have now subdued and work has now continued.

Instead of rushing to catch up with the original schedule and thus risking a poor end-result, we have together with the local education bureau agreed to postpone the opening ceremonies by a month to Tuesday, September 29th. This way we can give our main constructor plenty of time to finish up all details without unnecessary rush or trade-offs with regards to quality.

The ceremonies will start at 10am in the morning. We will together with the local authorities arrange transportation from Chengdu. The drive to the site in GuiYuan village from downtown Chengdu is about one hour.

If you would like to attend the ceremonies please inform me by Thursday, September 17th. Please also let me know if you require transportation. I will thereafter send you a more detailed program for the ceremonies.

The conceptual design

Much has happened since the last report was issued. Ground has been broken both in Shanghai and GuiYuan and construction is going on at full speed.
Financially we are now secure to complete the main building and most of the yard work. However, we still welcome sponsors to join our group. For instance, both a library and a computer classroom are still in need of sponsors.
As you know, we have managed to make the most of our donations. Further, in China one kuai has quite a lot of buing power, so please do not hesitate to contact us for information on how to participate.
Please search within your organization for a decision maker to with whom to speak with about our project for possible support. This project is a highly cost effective way to practice Corporate Social Responsibility with surgical precision. You will know exactly where and how your donation is being used, and every single yuan will continue to give back to you for decades to come.

Co-operation with the Finland@Expo2010 team

Our team of volunteer workers participating in the ground breaking festivities of “Kirnu” the Finnish pavilion at Shanghai World Expo 2010.

Our project is run without any administrative budget – what so ever. Therefore we welcomed the invitation by the Finnish Shanghai World Expo 2010 team to present ourselves at the ground breaking ceremony of the Finnish pavilion, Kirnu, on April 22nd. Our presence was widely noted both in domestic and international press. Among others, Shanghai Daily, ran a special story about us.
The Expo team donated the project a symbolic ground breaking stone, and we were happy to return the favor by presenting General commissioner Huitu with a brick from the old, collapsed, school building in Sichuan. Our hope is that this brick will find itself into a display about our project in the Finnish exposition.

May 5th - Ground has been broken.

On May 5th we celebrated in Sichuan the ground breaking for our building project. First of all I must say that I was completely taken by the amount of people present. Gui Yuan is a small village with only a couple of thousand inhabitants. I am pretty sure every single villager was present to witness the joyful ceremony.
Present were also both YLE and MTV3 with the result that our project got some excellent publicity in Finland. We were featured both in the main evening news, as well as in the morning show.

July 7th – We have reached roof level.

Immediately after the ceremonies the construction of our school started. Work is done in two shifts 7 days a week. Today we have already completed the main framework and focus will soon shift to walls and interior details. Accoding to our on-site project managers, courtesy of Pöyry, everything is running smoothly and we are on schedule.

Book donations
We are happy to announce that we have been able to facilitate the donation of 50 copies of Tove Janssons “Who will comfort Toffle?” children at “our” school. This book was published early July and has been translated by the four time Chinese ambassador to Finland, Mr. Du Zhongying who has also translated other works by Tove Jansson.
The initiative for this wonderful idea come from two students at the international school in Helsinki, Ms. Zhang Li and Ms. Danielle Varjosalmi, who among their schoolmates arranged a fund raising event.
Good ideas are hard to come by, but easy to recognize. Inspired by the initiative shown by Ms. Zhang and Ms. Varjosalmi the Finnish Expo team has agreed to jointly with Stora Enso donate 1000 sets of Jansson’s Children’s books to children in Sichuan and China.

Opening Ceremony on September 1st

The final inspection of the school building will be held in mid August after which it will be handed over to the local education bureau for preparations of the coming school year. We have agreed with the local authorities to hold the opening ceremony of the school on September 1st – the same day that schools open in China for the fall semester. All sponsors are naturally welcome to join the celebrations. Please contact me for further information.

Spread the word
Last but not least, a very simple – and possibly the most important – way of giving this project support is to continue spreading the word. Tell your family, friends and colleagues about our project. As you can see it is paying off! – how else could we succeed in raising the funds and building a school in less than a year with a marketing budget of 0 RMB? Please find below a status report regarding the latest developments with our project. If you are new to this project, please see the summary information at the end of this report.

The current, temporary, school in GuiYuan village is a number of metal barracks bolted to the foundation of the previous school that was severely damaged on May 12th 2008.

We are now entering a exciting stage of the project. The detail designs and the preliminary cost estimates are completed. We are currently in the tendering process with six candidates for main contractor, and we expect the tendering process to be completed within a couple of weeks. After this we can move on with the actual construction project. The children of GuiYuan primary school will be re-located to neighboring schools for the remainder of this school year. We expect to be able to start ground work in late April, and actual construction in early May. 

Cost estimate
I have earlier communicated our need for support as roughly 2,7 million yuan in Cash. This has been correct, but I now realize that it gives a slightly skewed impression of the project. Into this figure I had not calculated other major contributions such as services and materials. A more fair view of the project is given if we state that the cost to build a similar school, without these crucial donations, would be around 4.2 million yuan. This figure includes estimates of all major costs, architecture, design, permits - you name it -  and also includes the latest cost estimate of construction and materials. A more accurate, however not final, value of the project will be known only after the tendering rounds are completed and we have signed a contract with the main constructor.

We welcome MyLab Oy, DigiEcoCity Ltd, Alteams, and the FinChi Innovation centre as new sponsors since the last newsletter. Also, the foreign office of Finland has recognized the enormous PR potential of our project and has channeled some funds towards us to help secure the smooth start of our project. As a result of this, the Embassy in Beijing has been able to raise its level of its donation substantially putting us now at roughly the 90% mark of our fund raising. I would like to mention Mr. Matti Heimonen, our Consul General here in Shanghai, as a central figure in making this possible.

Ground Breaking
As communicated earlier we will have a joint event together with the Finnish Expo 2010 team here in Shanghai on April 22nd to celebrate the ground breaking of the Finnish pavilion and the starting of the construction of our school.  The Finnish minister for Employment and the Economy, Mr. Mauri Pekkarinen will honor the celebration with his presence. Our ground own breaking ceremony will take place in Sichuan in early May. More details on this as they become available.

Publicity
Our efforts to give return on investments with regards to publicity in the Chinese media is starting to pay off; recently our project was mentioned in Airport Magazine a publication circulated among business travelers at Shanghai airports and hotels. We will also host our own press conference for in Shanghai on Thursday April 16th. Please contact me for further details. As we are now gaining more visibility in China we have selected as our Chinese project name芬芳 (fenfang). This has a literal meaning of fragrance, however, it can also be read as Finnish Funding. Our Chinese language web site is under construction and will be launched next week. I will send out more information when we have done this.

Full speed ahead!
Our project has achieved some remarkable victories during the last month. The most notable of these is of course the confirmation us being able to keep “full speed” with regards to the construction project. However, we still need to raise the remaining 10% in order to complete all parts of the project. Any and all support is greatly appreciated and will not go unacknowledged. Therefore, please search within your organization for a decision maker to with whom to speak with about our project for possible support. This project is a highly cost effective way to practice Corporate Social Responsibility with surgical precision. You will know exactly where and how your donation is being used, and every single yuan will continue to give back to you for decades to come.

Adhering to our previously set policies we will not publish the amount of the donations – we want the focus in this project to be on sharing and collaboration. However, naturally we strive to give as much credit to our sponsors as possible. Among other things, all donors, both corporate and individuals, will be recognized both on the project web sites, as well as on a memorial plaque prominently displayed on site.

Dear sponsors, supporters and friends of the Finnish Charity School Project,

Firstly, I would like to apologize for the long break in communication. Much has happened since December that both could and should have been communicated.
Secondly, I hope that both of the new years have started off well for you and that your organization has been able to successfully adjust to the changes in the economy that are now affecting us all.

Please find below a status report regarding the latest developments with our project. If you are new to this project, please see the summary information at the end of this report.

Planning, Permits, and Design
3D-a-small2.jpgThe architects and engineers at Pöyry have done a great job in producing a very attractive design for our school, while at the same time keeping the costs under control. As some of you might know, the costs of building materials in Sichuan have skyrocketed since last May because of the surge in demand. Most building materials cost 50%-100% more than normally.

As I have communicated earlier, the location for our project is the village of Gui Yuan which is in Guan Han town, some 30km north east of Chengdu.

We have met with the local authorities and school board and they have agreed to help us with all issues regarding permits and such. Among other things, they were able to acquire and join to the school lot two adjacent pieces of land, so that we have more to work with, with regards to the placement of the playground donated by Lappset Oy, and the sports-field.

The cost of the school is now settling to roughly RMB 2.7 million. Given the 1500 m2 of floor space this gives an average cost per square meter of roughly RMB 1 700. Putting it all into some perspective, we are able to build a school at a price-tag less than that of a small house in southern Finland. Our aim is to have the construction completed by beginning of the fall semester in September 2009.

All of us who work with this project are very happy and proud of the design that has developed during this process.

Ground breaking ceremony in Shanghai
I am very excited to tell you that we have agreed on co-operation with the Finnish World EXPO 2010 team. The first concrete step of this collaboration will be a joint ground breaking ceremony of our two projects, held at the building site of the Finnish pavilion in Shanghai. I will get back to all of the sponsors with formal invitations as soon as we have the date set. The event will most probably take place sometime during early April.

We are also working on developing other form for co-operation with the Expo team. Later this year we hope to be able to arrange a joint event in Sichuan for the grand opening of the school, and we are, of course, also looking into the possibility of having the project and its sponsors recognized in the exposition itself.

The barracks serving as the temporary school in Gui Yuan are without ventilation or heating.

Our project received very much positive attention last fall. In order to avoid over-exposure I have let the Finnish media rest during January, and have concentrated on preparing a plan on how to get our project recognized in the Chinese media. I am excited to tell you that the project team is now receiving volunteer support from a professional Chinese journalist, Mr. Duan Duan.  As ALL of your donations go to the China Children’s and Teenager’s Fund and 100% towards building the school, we have a very limited budget for PR, I am sure Duan’s media-network will prove to be invaluable for us in “breaking into” the local media.

New Members and Current Finances

Zeng Qing, age 8, is attending 2nd grade at the temporary primary school in Guiyuan together with 250 other children.

We are excited to welcome the Cargotec group, that is Kalmar, Hiab and MacGregor to join our project. All supporters will be listed both on the web and on a plaque at the school – and as you have read above, possibly also at the project showcase at the Finnish EXPO pavilion. However, adhering to our previously set policy, we will not publicly disclose the amounts of the donations. We feel that the main focus in this project should be on participation and showing that we care deeply about the communities they are involved with.

Now that the cost budget is becoming clear I am able to give a much more precise report on where we stand with regards to the target. We have currently received pledges of Cash amounting to RMB 1.9 million. Given that some of the pledges are denominated in Euros and not yet remitted, this figure fluctuates a bit with the exchange rates. We have also received support in form of materials and services, but these have now been incorporated into the planning and are taken into account on the cost side. Thus we are more or less at the two thirds mark with regards to the need for monetary support for the project. We still have a gap of roughly RMB 800 thousand, equivalent to roughly 93 thousand Euros against the total cost budget.

“How Can I Help?” – You might be asking
Apart from considering or suggesting a donation from within your professional organization, is there any other way you help this project? Absolutely! It is very easy and costs you almost nothing: Ask a friend, colleague, or business associate to take a closer look at what we are doing. We realize that a small scale charity project, such as ours, and without a powerful marketing department relies heavily on personal trust and networking for its success. Thus your support in form of a personal recommendation will be extremely valuable. Your contribution WILL make a HUGE difference.

Latest media coverage
During the last month our project has received very much media attention. The regional newspapers Kaleva and Keskisuomalainen ran articles about us in December.

We are now also targeting Chinese media to create domestic awareness about the project. More info on this as it becomes available.

Construction site and design
The architects at Pöyry have finished the conceptual design of the school and the site. The next step in the project will be to present the design to the local authorities and the local school board of GuiYuan village, located near Chengdu. This will take place later this week. We need to make sure that the school we plan is suitable for the local community and that we address the relevant problems.

The communication so far has been very positive and we expect  to obtain all necessary approvals and building permits without delay or problems. According to our plans, the construction work will start in the beginning of March. We plan to have the new school building completed by start or the fall semester in September 2009.

The project is glad to welcome Auramarines Asia Ltd. and the Martin Bencher Group as the latest corporate sponsors. We are also very happy to announce that Shanghain suomalaiset R.y. organizes a  charity drive enabling us to welcome individuals and families as sponsors as well. We, however, will not disclose the amounts of the donations – we feel that the focus in this project should be on participation.

Things are going well, but unfortunately we are not there yet…
Currently the amount of Cash donations is nearing RMB 2 million – which puts us roughly at a two thirds mark from our target budget.  
However in order to secure the completion of this project we still need further donations.

Latest media coverage
Today, December 3rd,  Turun Sanomat, Finland’s second largest newspaper, ran a story about our project.

Stora Enso, Tikkurila, Nokia, Aaker Yards, Pöyry and Lappset were mentioned this time.

We have a couple of other media events “in the pipe”, and I will inform you about these when they are made public.

Contractual issues
Donation contracts have now been finalized with assistance of Hannes Snellman Law offices in Beijing, and we are awaiting final approval from CCTF. The donation contracts will be sent out to the founding members IMMEDIATELY as we get approval.

Construction site and design
Dr. Baisen He, our construction project manager from Pöyry, visited Sichuan a couple weeks ago, and based on this visit we have been able to find a suitable target for our  project. We will build a primary school (grades 1 through 6) for GuiYuan village, 30km north east of Chengdu. The epicenter of the quake was about 85km from this location and thus the old school was completely destroyed.

The architects at Pöyry have now started the conceptual design of the school. Structural design will start after we receive results of a geological survey.

Support from individual parties
As we have now by far reached critical mass in this project, we can finally open up the project for donations from private persons and Families. Due to Chinese bureaucracy and requirement by Finnish legislation, this will be coordinated with the help of Shanghain Suomalaiset ry. We are in the process of applying for a charity-collection permit from the state provincial office of southern Finland (Etelä-Suomen lääninhallitus).

Until this permit is issued, we are happy to also welcome “Soft commitments” from individuals. This can be done by e-mailing me. I will contact all registered persons with banking information when we have these details settled. More info about this on the project web site.
